Public Meeting Room (Auditorium)

The John’s Prairie Meeting Room of the PUD’s auditorium is available to public agencies and nonprofit groups for meetings when not in use by the PUD. This room is 1,800 square feet and has a maximum capacity of 123 people. The Johns Prairie Meeting Room is available during the PUD’s non-working hours and will not be staffed by PUD personnel. The commission chambers (previously the Skookum Room) are no longer available for reservations.

General Requirements

There are some general requirements:

  • The Johns Prairie Meeting Room is available to responsible, non-profit organizations and public agencies only.
  • The Meeting Room is self-serve and must be used for meetings only.
  • The Meeting Room is available during non-business hours Monday through Thursday 5:30 p.m. to 10 p.m. and Friday through Sunday 7 a.m. to 10 p.m.
  • The Meeting Room is not available on PUD-recognized holidays.
  • Reservations for use of the Meeting Room will be accepted on a first-come, first-serve basis only.
  • Reservations will not be allowed more than 90 days in advance.
  • A new Meeting Room Request must be completed for every meeting time requested (see “Book Meeting Room” request link below).
  • A representative from the group will need to pick up an access key prior to the meeting from the PUD customer service office (2621 E John’s Prairie Road) during normal PUD business hours (Monday – Thursday 7 a.m. to 5:30 p.m.). Note: Failure to pick up the card during PUD business hours will forfeit the group’s reservation.
  • The PUD 3 kitchen facilities are not available; however, light refreshments may be served in the Meeting Room. A small sink and counter space are available.
  • The Meeting Room is monitored by 24-hour video surveillance for safety and security.

Review Before Booking

Please review the following 2 documents prior to booking your reservation:

  • The reserving party (user) will be asked to acknowledge they’ve read and understand the PUD’s Public Meeting Room Use Policy and Procedures (PDF) prior to booking the Meeting Room.
  • Additionally, the reserving party (user) will be asked to acknowledge they’ve read and agree to the Hold Harmless Agreement below prior to booking the Meeting Room.

Hold Harmless Agreement

Executed via electronic acceptance: In consideration of PUD 3 allowing use of the PUD 3 auditorium premises, User, on behalf of the User, the User’s heirs, legal representative, executors, administrators and/or User’s officers, members, employees, agents and/or assigns, hereby releases and forever discharges, defends, holds harmless and indemnifies PUD 3, and PUD 3’s officers, employees, and agents from any and every claim, demand, action or right of action, of whatever kind or nature, either in law or in equity, arising from or in any manner related to use of the PUD 3 premises and auditorium that is the subject of the current use agreement.

User agrees that this release, waiver, and indemnification agreement is intended to be as broad and inclusive as permitted by the laws of the State of Washington, and if any portion of this agreement is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect. 

To the extent that the User is a legal entity (examples include, but are not limited to registered Washington nonprofit corporation, government), the individual(s) completing the electronic registration process affirm that they are vested with valid and full legal authority to enter into this agreement on behalf of and bind the legal entity, and PUD 3 will rely on that representation in entering into the Auditorium Use Agreement.

 

Book Meeting Room

Granting permission for the use of the auditorium doesn’t imply PUD 3’s endorsement of organizations or individuals permitted to use the space.
